Planning a Large London Christmas Party Without Doing It All

christmas at magazine london

Being asked to organise a Christmas party for 500, 1,000 or even more guests is quite a task. The evening needs to work for a lot of people, but you likely have no idea where to begin with an event of that size.

The good news is, you don’t need to become a professional event organiser to plan it well. With a packaged Christmas party, you can simply tell us about your company, your guests, and the kind of evening you want them to have. Our job is to recommend the right venue and work out how the catering, production, entertainment and on-site operation will meet your plans.

Start with what only your company knows

At the enquiry stage, Christmas party planners need a clear sense of direction. This includes an approximate guest range, a few preferred dates, and an idea of budget. These three elements will be enough to start looking at the right party venues and packages.

Ideally, you can describe who you are inviting and the main purpose of your party (beyond celebrating Christmas!). An employee celebration has a different feel from a Christmas party that includes clients and partners, and we should know if people will travel from several offices or arrive en masse by private transfer.

Finally, note the details you already know you want. These might include a leadership welcome, a year-in-review film, employee awards, a VIP reception, or a late finish time. You can leave the finer points until later. At this stage, we simply need to understand what matters to you.

How to choose a large Christmas party venue in London

Once we know what you have in mind, we can recommend venues that suit your numbers and plans.

What sort of party will your guests enjoy?

Do you picture everyone sitting down for dinner, speeches and awards, or would your guests prefer a reception where they can move around and try different activities? Perhaps you want both, with dinner followed by a band, DJ and busy dance floor.

Some venues keep the whole celebration within one impressive space. Others take guests from a reception area into dinner and on to a separate party room. Tell us which style appeals to you, and we can explain how it would work for your group.

Will the location work for the people attending?

Think about where people will finish work, which stations they use, and how they will get home. A venue may look ideal in photographs, but a difficult journey can affect attendance or encourage people to leave early.

If colleagues will arrive by coach or private transfer, let us know. The venue team can plan for that arrival and give you clear information to share before the party.

Does the setting feel right for your company?

A historic event building creates a very different first impression from a contemporary warehouse, a riverside venue, or a large purpose-built event space. There is no single right answer. The setting should suit your guests and the kind of Christmas thank-you you want to give them.

With a Smart Parties package, you can choose from venues already prepared for the Christmas season. You can see potential themes, understand the planned atmosphere, and review what each venue package includes.

Can we include your company moments?

Tell us about any speeches, awards, films, branding, or extra entertainment before you book. Your Account Manager can explain which venue gives you the right flexibility and where those moments can sit within the evening.

Where an exclusive party package saves you time

If you start with an empty venue, you’ll need separate companies for catering, theming, sound, lighting, entertainment, security, and staffing. Every supplier needs a brief, a contract and a place in the schedule, leaving somebody within your company to keep track of the whole lot.

A Smart Parties package, on the other hand, comes with a preset journey, and depending on your venue choice, this could include:

  • Exclusive venue hire.
  • Standout theming.
  • Dedicated catering and drinks.
  • A stage, screens, sound and lighting.
  • A dance floor and DJ.
  • Live or choreographed entertainment.
  • Security and first aid.
  • Cloakroom and front-of-house services.
  • A dedicated Account Manager.
  • An Event Manager on the night.

Feeling bougie? Each venue has its own upgrade options, too. Your Account Manager will talk you through the full proposal before you book. From the start, you’ll know exactly what’s included within the price, which choices are flexible, and where additions may improve the evening for your guests.

What our team handles behind the scenes

Getting guests in and settled

We plan for how guests will enter, pass through security, use the cloakroom and reach the reception. If you tell us that several coaches will arrive at the same time, or that part of the group needs step-free access, we can plan for it.

Serving food and drinks across a large room

Our catering and venue teams plan service for the full guest list, including dietary meals and alcohol-free choices. You collect the guest information and send it to us by the agreed date, and we use it to prepare for the evening.

At Evolution London and Magazine London, our in-house caterer Moving Venue prepares food on site and works closely with our event teams. Everyone knows the venue and understands how dinner service fits around the wider schedule.

Preparing speeches, films and awards

If you plan to address the whole room, we can look after the technical side, from the stage and screens to the microphones, sound and lighting. You supply the final content and speakers, and we agree any rehearsal time with you before guests arrive.

Running the evening

Your Account Manager works with you before the party, while the Event Manager looks after the schedule on the night. Catering, production, entertainment, security and front-of-house teams all report to the same person, so you’re not chasing contacts while your guests are arriving.

How do you make a large party feel personal?

Firstly, a spectacular theme gives everyone an impressive setting to enjoy, while your company adds the details that make the evening feel like its own celebration. Some of our 2026 Christmas party themes include Carnivale, Masquerade, and Urban Funfair, but some venues come with classic Christmas themes too.

Plan one moment for the whole company

A short welcome, employee awards, a year-in-review film, or a special performance can give everyone a moment to share. We can help you place it within the running order, giving guests time to enjoy it without holding up dinner or interrupting the later entertainment.

Add company details where guests will notice them

Depending on the package, you may want company content on screens, a branded welcome, a photography area, team seating, a prize draw or additional entertainment.

Give people different ways to enjoy the party

Some guests will head straight for the dance floor, while others will want to try an activity or spend time talking with colleagues. A venue with varied entertainment and social spaces gives everyone a way into the evening, with the theme connecting it all.

Three Smart Parties packages for large groups

Evolution London, Magazine London, and 60 Great Queen Street show how three large venues can offer very different evenings. All come with an established Christmas package, so the choice comes down to your guest numbers and the style of party you want.

The Carnivale at Evolution London

Evolution London can host up to 2,000 seated guests or 4,000 for a standing reception. For Christmas 2026, The Carnivale fills the venue with colourful theming, Latin street scenes, dodgems, performers and carnival-inspired bars.

The exclusive package includes a stage, screens, sound, lighting, catering, drinks, DJ, security, first aid, cloakroom facilities and dedicated event management. As the main theme and production are already installed, you have more time to prepare any speeches, awards, branding or additional entertainment with your Account Manager.

Urban Funfair at Magazine London

Magazine London can host up to 600 seated guests or 2,000 for a standing reception. The evening moves through two main spaces, starting with dinner and city views in Space One before guests enter the indoor funfair in Space Two.

The package includes the venue, funfair setting, catering, drinks, AV, dance floor, DJ, security, first aid and event management. The mezzanines can also work as VIP areas, quieter breakout spaces, or extra room for a larger guest list, according to your plans.

The Masquerade Club at 60 Great Queen Street

The Masquerade Club at 60 Great Queen Street can host up to 350 seated guests or 1,200 for a standing reception. Guests arrive at the Grade II* listed building in Covent Garden, collect their masks and begin with sparkling wine before moving through a starlit tunnel to the dance floor in the Grand Temple.

The exclusive package includes 1920s theming, a tailored menu by Moving Venue, drinks, a pre-event tasting, AV, cloakroom facilities, DJ, security, first aid and an Event Manager. You can also discuss canapés, spirit packages, magicians, a live band and extra entertainment with your Account Manager, giving you room to shape the night around your guests.

What happens once you book a large Christmas party?

After you choose the venue, date and package, your Account Manager will guide you through the remaining decisions. We’ll talk through any upgrades and give you clear dates for final information and payments.

As replies come in, you send us the confirmed numbers, dietary requirements, and accessibility information. We add those details to the event plan and double-check these before the party.

On the night, our venue team delivers the food, entertainment and production, leaving you free to welcome colleagues, support your speakers, and enjoy the festivities as well!
